How to Add a New Publication

Adding a new publication allows you to create special sections or editions that appear separately in your e-Edition catalog. This feature is commonly used for special issues like sports previews, holiday editions, or supplemental content that you want to distribute independently from your main publication.

Use this feature when you need to publish content that should be treated as a separate edition, particularly for free special issues or content that requires different access settings than your main publication.

Prerequisites:

  • Active eType Services account with publication management access

  • Access to your normal PDF upload area

Limitations:

  • Publication names must be unique across the entire system

  • Years in publication titles are discouraged as they can bog down the system over time

Instructions

Step 1: Access Publication Management

  1. Login to your eType account (the same place where you normally submit your PDFs)

  2. Hover over MY PROFILE in the main navigation

  3. Select "Publication" from the dropdown menu

Step 2: View Current Publications

  1. In the publication management screen, locate the dropdown menu on the left side

  2. This toggle switches between "Active" and "Inactive" views:

    • Active: Displays all currently active publications (visible on your e-Edition landing page)

    • Inactive: Displays all deactivated publications (hidden from your e-Edition landing page)

  3. Ensure you're viewing "Active" publications to add a new one

Step 3: Create New Publication

  1. Click "Add new" button on the right side of the screen

  2. Name your publication: Enter a descriptive title for your special section

    • Example: "Boerne Football Preview"

    • Avoid using years in the title

    • If your desired name is taken, prefix it with your location (e.g., "Lexington Football Preview")

Step 4: Configure Publication Settings

  1. Prefix: Enter a 3-6 letter abbreviation for your publication

    • Example: "BFP" for Boerne Football Preview

  2. Skip most optional settings unless you have specific requirements

  3. Time period of trial (one free issue):

    • Enter "365" if this will be a free edition

    • Leave blank or enter different value for paid content

Step 5: Save and Verify

  1. Click "Save" to create the publication

  2. Navigate to your PDF upload area

  3. Verify the new publication appears in your publications dropdown menu

  4. Select the new publication when uploading relevant PDFs

Q: What happens if my desired publication name is already taken?

A: Publication names must be unique system-wide. Add your location or publication name as a prefix (e.g., "Lexington Sports Preview" instead of just "Sports Preview").

Q: Why shouldn't I include years in publication titles?

A: Years in titles can eventually bog down the system. Instead, use generic titles and manage content chronologically through your upload dates.

Q: How do I hide a special section without deleting it?

A: Edit the publication and change its status from "Active" to "Inactive." This removes it from your e-Edition landing page while preserving the publication record.

Q: What's the difference between Active and Inactive publications?

A: Active publications appear on your public e-Edition landing page and are accessible to users. Inactive publications are hidden from public view but remain in your account.

Q: Can I change the settings of a publication after creating it?

A: Yes, you can edit publication settings at any time by accessing the same Publication management area and selecting the publication you want to modify.

Q: What should I enter for the trial period if it's not a free edition?

A: Leave the trial period field blank or enter "0" for paid content. Only enter "365" for completely free editions.
