How Do I Edit the Expiration Date for a Subscriber's Account?

Edited

Overview

Editing subscriber expiration dates ensures accurate account status when customers pay through alternative methods or when subscription terms need adjustment. This process also allows you to update email addresses from your publisher dashboard.

Use this feature when subscribers pay by check, in-person, or phone rather than through the online paywall, or when you need to extend subscriptions for customer service reasons. This ensures their e-Edition access continues uninterrupted based on their actual payment.

Prerequisites: You need publisher credentials for the eType system. This process works for editing expiration dates and email addresses but not other profile information like mailing addresses or passwords.

Common Scenarios for Expiration Date Updates

You'll typically need to edit expiration dates for:

  • Alternative payment methods: Check, phone, or in-person payments

  • Subscription extensions: Customer service adjustments or promotional extensions

  • Print subscriber verification: Matching e-Edition access to print subscription terms

  • Renewal corrections: Fixing incorrect automatic renewal dates

  • Complementary subscriptions: Setting appropriate terms for staff or promotional accounts

Step 1: Access the eType System

  2. Log in with your publisher credentials (username/password)

Step 2: Navigate to Subscriber Management

  1. Hover over "Circulation" in the upper menu

  3. Document the change: Note the update in your records for future reference

FAQs

Q: How do I calculate the correct expiration date? A: Add the subscription length to either the current date (for new subscriptions) or the current expiration date (for renewals). For example, a 1-year subscription purchased today would expire one year from today's date.

Q: What's the difference between this editing method and logging in as the subscriber? A: This publisher-level editing allows you to change expiration dates and email addresses. For mailing addresses, passwords, and other profile details, you need to log in as the subscriber.

Q: Can I extend a subscription that's already expired? A: Yes, you can update expired accounts. Set the new expiration date based on when the subscriber paid, regardless of when their previous subscription expired.

Q: What if I set the wrong expiration date? A: You can repeat this process to correct the date. There's no limit to how many times you can edit a subscriber's expiration date.

Q: How far in advance can I set expiration dates? A: You can set expiration dates as far in the future as needed. This is useful for multi-year subscriptions or long-term promotional accounts.

Q: Will subscribers be notified when I change their expiration date? A: Subscribers are not automatically notified of expiration date changes. Consider informing them directly about subscription extensions or updates.

Q: Can I bulk edit multiple subscribers' expiration dates? A: This process works for individual accounts. For bulk updates, contact eType Services to discuss import options for large-scale changes.

Q: What happens if I accidentally delete a date field? A: Make sure to enter a complete date before saving. If you accidentally save an incomplete date, edit the account again immediately to correct it.
